The meeting was attended by 28 Rotarians for a talk by Phyo explaining the Rotary website and ClubRunner. Phyo explained three aspects of the Rotary information system:
- Rotary website
- Sending emails
- Members’ information
Our current website was developed with the assistance of Melissa Wells, the Rotary webmaster designer. Phyo said that we use only about 25% of the capabilities of ClubRunner. The Rotary Website Wellingtonrotary.ca, is designed and available for members and the general public to get information about our Club. When one opens it, one sees stories about us, how to join our club, a Donate Now button, current speakers list and at the bottom are links to Rotary International and the County.
Member Portal: Across the top is a tool bar which includes Member Portal wherein members can Edit their Profile, access the Email Message Centre, View Club Documents and more. Some changes can only be made by logging in at the Members Area at the very top right side of the page. If you have difficulty in managing your password, ask Lyn for an instruction sheet. If you have a story for the website, tell Phyo about it and he will put it on.
Sending Emails: The Email Message Centre maintains a list of all your previous emails and the format of sending new ones. You can choose to send an email to all members or specific ones by checking the appropriate box on the left side. The Message Centre has a standard format that will address and send the email to whomever you designate. Phyo recommends sending a draft to yourself before larger distribution to check for accuracy. The email can be sent then immediately or you can set it up to go later.
For project or team leaders, a list of your members can be created so you can send group emails to them as a convenient way to keep in touch.
Members’ Information: Phyo recommended that all members access their own Member Profile (under Member Portal) and check that the information is correct and up to date. Under Club Documents, members can see Club Budgets, Board Minutes and many more details of our organization and past business. Other

Tim reported that Geoff is in the Belleville hospital for treatment but expected to be home this weekend. A Get-well card was circulated for him.
Lana showed the gifts that she bought on our behalf for the foodbank Christmas hampers. She only spen $556 of the $1,000 approved for this donation. She moved and Mike seconded that the balance of the approved amount be donated to the foodbank. Carried unanimously.
Trudy reminded members that the number of participants for the 20th Anniversary Dinner and payment of $40/person is to be in to her by next Tuesday so she can advise the caterer. Ken announced that we will have guests from Quinte Sunrise and Picton Clubs and Jacques announced that the visiting Scottish Rotarian curling team will also be our guests.
Ken reiterated the call for two volunteers to receive District Grant training so that the Club would be eligible to apply for a District grant next year. Jacques volunteered as one. One more is needed. The training is online or in person in Oshawa November 19 from 9 am to 2 pm.
Ken reminded the members that November 29 is Tuesday Giving Day and he will be contributing to the Rotary Foundation as an example.
Phyo reminded members that Kate’s Rest is holding an information session on aquaponics at the Demorestville Town Hall tomorrow at 9 am, given by waterfarmers.ca. Let Phyo know you are attending or just show up.
The 50:50 draw was not successful for Bill Pennell this week. Bill Pennell is growing his moustache for Movember and he may be looking for sponsors.
